About the division

The Systems Automation Department is a structural unit focused on analysing, optimizing, and digitalizing the University’s educational, administrative, and managerial business processes, while also improving the coordinated operation of information systems used across the University.

The Department’s primary task is not merely to convert an existing process into electronic form, but to design an effective digital model based on process analysis. To achieve this, it works with structural units to study business processes, define the current AS-IS model, analyse unnecessary and duplicated activities, develop the target TO-BE model, and formulate functional requirements for information systems.

The Department contributes to improving information exchange between systems within the University’s digital ecosystem, identifying integration needs, developing API- and SSO-based interoperability, and establishing principles for shared reference data and Master Data. Reducing repeated manual entry of the same data across multiple systems and improving data currency and integrity are among the key outcomes of automation and integration.

The Department also contributes to measuring the University’s level of digitalization, maintaining a register of automated business processes, analysing new digital initiatives, and monitoring the results of digital projects. To enable the use of University data for management decision-making, it may participate in the development of Data Governance, BI, analytical dashboards, and management reporting solutions.

The responsibilities of the Systems Automation Department and the Software Innovation Department are clearly separated: the Systems Automation Department studies the process, formulates requirements, defines the TO-BE model and integration logic; the software development unit implements the technical solution and software product on the basis of those requirements. This approach positions the Systems Automation Department not as a second development team, but as a centre of competence for the digital transformation of the University’s business processes.

  • Create and maintain an up-to-date register of the University’s core business processes.

  • Identify processes suitable for automation and optimization and propose priorities.

  • Study and analyse the AS-IS model of existing business processes.

  • Develop the target TO-BE model for processes selected for digitalization.

  • Collect, clarify, and document business and functional requirements from structural units.

  • Develop functional requirements and acceptance criteria for automation projects.

  • Participate in the development of electronic requests, approvals, and workflow processes.

  • Develop automated services on University portals and process platforms.

  • Identify integration needs between information systems and define data-exchange logic.

  • Develop requirements for API integration, SSO, and unified authentication initiatives.

  • Participate in developing Master Data principles and shared reference datasets.

  • Participate in Data Governance and data-quality management initiatives.

  • Define requirements for BI, management analytics, and dashboard solutions.

  • Measure the share of automated business processes and the level of digitalization.

  • Participate in forming, prioritizing, and evaluating the results of the portfolio of digital initiatives and projects.

Core principle: Do not merely automate a process; optimize it and integrate it into the digital ecosystem.
